School Receptionist
We are seeking a highly organised, approachable, and dependable professional to serve as the face of our school. The ideal candidate will play a key role in maintaining the smooth day-to-day operations of the front office, ensuring that students, staff, and visitors receive a warm welcome and efficient support. ︎︊︊︌︉︍︆︋︂︆︄︅︁︁︎︌︈︂︇︍︈︆︅️︊︄︈︌︊︎︂︎
Key Responsibilities:
- Front Desk Management:
- Greet visitors, students, parents, and staff with professionalism and courtesy.
- Direct visitors to the appropriate departments, classrooms, or staff members.
- Ensure security protocols are followed, including signing in visitors and issuing visitor badges.
- Answer phone calls and emails promptly, addressing inquiries or directing them to relevant staff members.
Administrative Support:
- Assist with general administrative duties, including filing, photocopying, and maintaining office supplies.
- Maintain and update student attendance records.
- Manage appointment scheduling
- Handle incoming and outgoing mail, packages, and deliveries.
Communication:
- Serve as a liaison between school administration, teachers, students, and parents.
- Distribute newsletters, notices, and other communications to students and parents.
- Assist in the coordination of school events and activities.
Student Support:
- Help with student inquiries and assist with minor student needs, such as directing them to the nurse or other offices.
- Ensure that students are signed in and out of school, including those arriving late or leaving early.
- Notify parents of emergencies or school-related concerns regarding their children.
Database Management:
- Maintain and update school records and databases (e.g., student information, contact lists, etc.).
- Assist in tracking and maintaining student health forms and permission slips.
Confidentiality and Security:
- Handle sensitive student and staff information with discretion and confidentiality.
- Ensure the safety and security of the school premises by managing visitor access.
General Office Duties:
- Maintain cleanliness and organization of the reception area and general office space.
