HR Assistant

Requirements:

  • Bachelor’s degree in Human Resources, Finance, or a related field.
  • Previous experience in HR, SSM, immigration or ︎︊︊︌︉︍︆︋​︂︆︄︅​︁︁︎︌​︈︂︇︍​︈︆︅️︊︄︈︌︊︎︂︎administrative roles – at least 3 years
  • Excellent verbal and written communication skills in both Romanian and English.
  • Experience in working with databases and systems
  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint).
  • Strong teamwork abilities and effective collaboration with different departments.
  • Keen attention to detail and ability to meet strict deadlines.
  • Willingness to work in a dynamic and changing environment.
  • Proactive in identifying and resolving issues.
  • Strong organizational and time management abilities.
Main Responsibilities:
Occupational Health and Safety (SSM):

  • Develop and improve OHS documents by closely collaborating with the external service ︈︁​︁︉︆​︁︈︈​︈︅provider to ensure best practices.
  • Conduct periodic audits to verify and maintain compliance with current legislation, contributing to a safe working environment.
  • Organize interactive training sessions for employees, ensuring everyone is informed about OHS regulations and carefully collecting signed OHS acknowledgment forms.
  • Monitor and report workplace incidents, proposing corrective measures to continuously enhance workplace safety.

Immigration:

  • Provide essential support to employees during the relocation and integration process, ensuring their transition into the company is as smooth as possible.
  • Prepare monthly reports that offer a clear and updated overview of the situation regarding foreign employees in the company, keeping track of all important and relevant aspects.

Human Resources Administration (HR Admin):

  • Work closely with the HR team to support the entire recruitment, hiring, and contract termination processes, ensuring each stage runs smoothly.
  • Carefully prepare employee files and submit them to the quality manager, contributing to high organizational standards.
  • Plan and organize training sessions: Collaborate with training providers to set the agenda, program, and budget for each training session.
  • Ensure training logistics: Reserve training rooms and prepare necessary equipment and materials.
  • Coordinate invitations and attendance: Send training invitations to employees, answer questions, and confirm their attendance.
  • Manage training documentation:Prepare additional documents and contracts as needed, and handle their signing.
  • Administer diplomas and certifications: Record and distribute diplomas obtained by participants.
  • Enter training data into the HR system: Keep training information updated in the internal database.
  • Track training feedback and impact: Collect feedback from participants and assess the results of training sessions.

Other:

  • Support full-lifecycle HR Admin activities and act as a back-up when needed.
