Events Coordinator

We are looking for a talented, creative, enthusiastic, and experienced Events Coordinator to join our team and organise unforgettable events. The events coordinator will also be required to assist in marketing and event activities by demonstrating expertise in branding, content development, advertising, contract management and paying close attention to market trends. You will be responsible for every aspect of an event, from choosing venues to evaluating success afterwards. An events coordinator must be well-organised and competent in vendor management. Job description
  • Understanding requirements for each event
  • Create concepts for major events and execute all events, internal or external
  • Manage event requests from all departments, ensuring their planning and execution, according to the events procedure, school events plan and communication strategy
  • Present integrated information for the event proposals, including timelines, venues, suppliers, legal obligations, staffing and budgets
  • Research venues and booking them, schedule speakers, musicians, sound engineers, or other key persons, depending on the concept of the event
  • Research for suppliers and contractors, negotiate costs to meet the approved budget, choose the best combination of quality and cost, and manage the contracts until the event is done
  • Coordinate all suppliers and event logistics (venue, catering, décor, travel etc.)
  • Oversee event happenings and act quickly to resolve problems to ensure that all runs smoothly and according to the budget
  • Evaluate event’s success and submit reports
  • Ability to create your own suppliers’ data base and access it when necessary
  • Liaise with marketing teams to publicise and promote the event
  • Ability to see the “big picture” and meet objectives in all stages of event planning, design and production.
  • Exceptional communication skills to liaise with all departments involved in events implementation, identify blocking points and find solutions to resolve them to ensure maximum satisfaction and unique experiences for the guests of the events.
  • Able to articulately propose ideas to improve services and event quality
  • Coordinate proofreading, copywriting, editing copies and information collection for all event presentations or advertisement materials
  • Offer support for all department projects
  • Budget control and reporting, offering costs optimisation

Requirements

  • Advanced English (speaking and writing)
  • Proven experience as an events coordinator
  • Proficient in MS Office
  • Degree in marketing, public relations, hospitality management or relevant field
  • Experience as an events coordinator at a similar company
  • Excellent communication and negotiation skills
  • Well-organised with multi-tasking skills
  • Ability to work in an academic and dynamic environment
  • Attention to detail for precise analysis of data
  • Critical thinking and problem-solving skills
  • Appreciation for novel insights and ideas
